Executive Assistant (Founder's Office)

Job Description

I’m looking for a full-time Executive Assistant to manage my day-to-day operations across two businesses:

This role is about speed, ownership, and execution. You’ll manage my calendar, scheduling, internal coordination, client-facing logistics, and system organization so I can focus on growth.

You don’t need to know everything on Day 1.

You must learn fast and execute cleanly.

We’re Social Brew Toronto, a content agency helping online business owners build personal brands without ever recording a single video.

What you'll be doing:

Calendar & Scheduling • Manage my daily calendar end-to-end • Schedule internal calls, sales calls, client calls, and coaching sessions • Coordinate across IST + EST time zones • Avoid overlaps, buffers, and scheduling chaos Coaching & Client Operations • Handle client queries related to scheduling and logistics • Schedule coaching cohorts and group calls • Create and manage cohort timetables • Share links, reminders, and updates with clients • Ensure smooth day-to-day experience for coaching clients Data & System Management • Organize data inside Notion, Trello, and GSuite • Keep Close.com CRM updated and clean • Maintain internal docs, trackers, and SOPs • Ensure information is structured and easy to find Founder Support • Handle ad-hoc tasks quickly and independently • Follow up on conversations and action items • Proactively flag issues before they become problems

Required Skills

• Strong grip on tools like Notion, Trello, GSuite, Calendly, Slack

• Comfortable learning new software quickly

• Excellent written communication (clear, short, professional)

• High execution speed and attention to detail

• Ability to manage multiple priorities without reminders

WHO THIS ROLE IS FOR

• You’ve worked as an EA, Ops Assistant, or similar role before
• OR you’re extremely sharp, organized, and fast
• You enjoy structure, systems, and fixing chaos
• You can work independently and don’t wait to be told every step
